Introduction
The Wheelbase calendar is your central hub for managing reservations and availability. It provides an at-a-glance view of your fleet activity, helping you stay organized, avoid double bookings, and plan efficiently.
Calendar Navigation
- Reorder: this gives you the option to adjust order in which your rentals appear
- Today: will jump back to today's calendar date — this is useful if you have navigated to dates in the future and quickly want to come back to today's date
- Choose Date: gives you the option to jump to a specific date in the calendar
- Hide/Show Unpublished: gives you the option to include or exclude your unpublished rentals
- The Arrows <>: move back and forward based on your viewing settings — if your calendar is set to '3 months' view, the > arrow will jump forward 3 months (and < jumps back 3 months)
- Prev Week: regardless of your viewing settings it will jump to the previous week
- Add Week: regardless of your viewing settings it will jump to the next week
Date Viewer
You can also adjust the dates that appear in the calendar view using the following options:
- day,
- week
- 2 weeks
- 1 month
- 3 months of calendar dates
Calendar Preferences - Listing Availability (Color Coding)
You have the option to color code 'unavailable' blocks for your rentals via the 'Calendar Preferences' section of your dashboard:

Note: When navigating this functionality for the first time you may be prompted to 'Activate' the setting:
When you add a label, it will replace the default 'unavailable' text while still blocking the vehicle from being booked. This feature gives you the option to select desired colors in conjunction with why the vehicle is marked as 'unavailable' (eg, out for maintenance, personal use, booked on another platform). When setting is utilized, you will see selected colors in addition to the system default colors outlined below.
System Default Color Coding
Below outlines the system default color coding reflected in your Wheelbase dashboard for existing quotes and bookings:
- Blue: Quotes, non confirmed bookings, they will not block your calendar for the guest. You can have multiple overlapping quotes pending for the same vehicle. The first guest who confirms gets the booking
- Green: Confirmed reservation (some payment has been processed)
- Purple: Delivery booking
- Light (faded) Green: Returned reservation, meaning the vehicle is back and available to book
- Yellow: Consigned owner booking
The 'tail' that appears at the end of the booking 'ribbon' denotes your turnaround time. Example, if you have a 'one day turnaround time' set under 'Reservation Preferences' the 'tail' would block off one day 'post trip return'
Note: You (from your Wheelbase dashboard) can create a quote or reservation that overlaps with the Turn Around Time of the previous reservation if desired.
