This guide walks you through setting up and optimizing a Google Business Profile (formerly Google My Business) for your car rental operation. A well-configured profile helps guests find your fleet on Google Search and Maps, builds trust before they ever visit your booking site, and drives direct traffic to your Wheelbase-powered storefront.
Note: Google periodically updates its Business Profile features and interface. So the exact flow may be a bit different than what is outlined here.
Prerequisites
- A Google account — this can be a business domain email (e.g., yourname@yourbusiness.com) or a standard Gmail address (e.g., yourrentalcar@gmail.com)
- Your Wheelbase booking site URL — this is the link guests use to browse and book your vehicles
- A physical business address or defined service area
Note: Do NOT use your personal residential address here, as this will then become the location of your business. In some cases, Google may ask for verification that you do operate out of this location (i.e., signage, a signed lease, a walkthrough video showing you have access to the space)
- Fleet photos ready to upload
Step 1: Create or Claim Your Profile
Go to business.google.com and sign in with your business Google account.
- Search for your business name. If a listing already exists (Google sometimes auto-generates them), claim it rather than creating a duplicate.
- If no listing exists, select Start Now or Create Your Profile and follow the prompts.
- Enter your exact business name as you want it to appear publicly. Keep it consistent with how your name appears on your website and any other directories.
Important: Do not add keywords or location names to your business name (e.g., "Best Car Rentals Dallas"). This violates Google's guidelines and can result in your profile being suspended.
Step 2: Choose the Right Business Category
Your primary category is one of the most important factors in how Google decides when to show your listing. Choose carefully.
- Primary category: Car Rental Agency

Secondary categories (add if applicable):
- Van Rentals
- Truck Rentals
- Luxury Car Rentals
Secondary categories help you appear in a broader range of searches without misrepresenting your primary offering.
Note: The above is just an example and you will want to choose keywords applicable to your niche & business model.
Step 3: Add Your Location or Service Area
Google gives you two options depending on how your business operates:

Physical storefront: If guests pick up vehicles from a fixed address, enter that address. This makes your listing appear on Google Maps and in local search results.
Note: Physical storefronts generally rank higher than service areas, if you have a physical address, then use this option rather than a service area.
- Service area business: If you deliver vehicles or operate without a fixed public-facing location, you can hide your address and define a service area by city, region, or zip code instead.
If you operate out of a home address and don't want it publicly listed, use the service area option.
Step 4: Add Your Contact Information & Website
- Phone number: Use a number that is actively monitored during business hours.
- Website: This is where you link guests directly to your Wheelbase booking site. Paste your Wheelbase storefront URL here so anyone who finds you on Google can book immediately without additional steps.
Tip: If you have a custom domain pointed to your Wheelbase site (e.g., www.yourbusiness.com), use that URL here rather than a raw Wheelbase subdomain. A branded URL looks more professional and builds trust.
Step 5: Set Your Hours
Be accurate and keep these updated. Inaccurate hours are one of the most common reasons guests leave negative reviews.
- Set your standard operating hours for when guests can reach you.
- Use Special Hours to mark holidays or days you are closed or have limited availability.
- If your vehicles are available for self-service pickup outside of your support hours, consider noting this in your business description (see Step 6).
Step 6: Write Your Business Description
You have 750 characters. Use them to describe who you are, what you offer, and why guests should book with you. Be specific.
A strong description for a car rental operator might include:
- Your location or service area
- The types of vehicles in your fleet (sedans, SUVs, trucks, vans, etc.)
- What makes your operation stand out (flexible pickup, contactless rental, local business, etc.)
- A prompt to book (e.g., "Book online at [your website]")
Avoid keyword stuffing. Write it like a human, not a search engine.
Step 7: Add a Booking Link
Google allows eligible businesses to add a booking or appointment link directly to their profile, giving guests a one-tap path to your reservation flow.
- In your Business Profile dashboard, go to Edit profile → Links (or look for a Booking option depending on your account).
- Add your Wheelbase storefront URL as the booking link.
Note: The native "Reserve with Google" booking integration is currently limited to specific verticals (dining, fitness, beauty, etc.) and does not natively support car rental software. Adding your Wheelbase URL as a custom website or booking link is the most reliable approach for getting guests directly to your fleet.
Step 8: Upload Photos
Photos are one of the strongest signals for local rankings and conversion. Profiles with photos receive significantly more clicks and direction requests than those without.
Upload the following:
- Logo — Used as your profile icon across Google products.
- Cover photo — Your most compelling fleet or lifestyle image. This is the first thing guests see.
- Fleet photos — Individual photos of each vehicle type you offer. Clean, well-lit shots work best. Avoid stock photos — Google and guests both prefer authentic images.
- Location photos — Your lot, storefront, or pickup location if applicable.
- Team/operational photos — These build trust and personality.
Aim to add new photos regularly. Google rewards active profiles with better visibility.
Step 9: Add Your Services
Use the Services section to list what you offer. This helps Google match your profile to more specific searches.
Examples for a car rental operation:

Step 10: Verify Your Profile
Google requires verification before your profile goes live. Verification options vary but typically include:

- Phone or email verification — Available for some account types.
- Video verification — Increasingly common; you record a short video showing your business location and signage.
Until your profile is verified, it will not appear publicly on Google Search or Maps.
Ongoing: Reviews
Reviews are one of the most powerful trust signals for any local business. A car rental operation with 50+ reviews and a strong rating will consistently outperform a competitor with none.
- Ask every guest to leave a review. The best time to ask is right after a successful return — include a link to your Google review page in your post-rental message.
- Respond to every review, positive or negative. Thank guests by name. Address complaints professionally and briefly — your response is as much for future guests reading it as it is for the reviewer.
- Never offer incentives for reviews. This violates Google's policies and can result in your profile being penalized.
To find your review link: In your Business Profile dashboard, go to Ask for reviews — Google will generate a short link you can share via text, email, or your Wheelbase post-rental message template.
Ongoing: Google Posts
Google Posts let you publish short updates, promotions, or announcements directly to your listing. They appear in your profile on Search and Maps and act as a lightweight marketing channel at no cost.
Post ideas for car rental operators:
- Seasonal promotions or pricing
- New vehicles added to your fleet
- Service area expansions
- Holiday availability updates
Aim to post at least once or twice a month to keep your profile active.
Ongoing: Q&A
Google allows anyone — including you — to post and answer questions on your profile. Proactively add and answer your own frequently asked questions before guests have to ask them.
Common Q&As to seed:
- Do you require a security deposit?
- What is the minimum age to rent?
- Do you offer airport pickup?
- How do I book a vehicle?
- Is insurance included?
Monitor this section regularly, as anyone can answer questions — including people who have no accurate information about your business.
Ongoing: Add Vehicle Segments as Google Products
Google Business Profile allows car rental companies to list individual vehicle categories — like Economy Sedans, SUVs, or Trucks — as Products directly on their listing. This gives customers a clear snapshot of your fleet, starting prices, and a direct booking link before they ever visit your website.
How to do it:
Go to your Google Business Profile dashboard, click Edit products, then Add product. Enter the vehicle segment name (e.g. "Economy Sedan"), your category (Vehicle Rentals), a starting price, and a short description. Upload a photo of a representative vehicle, add a call-to-action button like "Get quote" or "Book now" with a link to your booking page, and hit Save. Repeat for each segment you offer.

Customers comparing rental options often make decisions before clicking through to a website. Product listings let your inventory do the selling right on Google — with photos, pricing, and a direct booking link all visible on your profile. Listings with products also tend to see higher engagement and can improve your visibility in local search results.
