Proper photo documentation is one of the most important steps in protecting yourself as an operator. Without the right photos taken at the right time, a claim may be denied — regardless of the damage. This article outlines what's required and what's recommended to keep your claims eligible for reimbursement.
Timing Requirements
Photos must be taken within 24 hours before and after a trip ends. Documentation submitted outside of this window may not be accepted as valid evidence for a claim.
- Pre-trip photos must be taken within 24 hours before the trip begins.
- Post-trip photos must be taken within 24 hours after the vehicle is returned.
Note: The timestamp on your photos matters. Make sure your device's date and time settings are accurate before documenting your vehicle.
What You Must Capture
To submit a valid claim, you must have a clear photo of any damage you are reporting before the trip begins. If pre-existing damage is not documented beforehand, it cannot be used to establish that new damage occurred during the trip.
Important: Claims without clear before-and-after photo evidence may be denied. It is your responsibility as the operator to document the vehicle's condition at the start and end of every trip.
Key Areas to Document
At a minimum, photos should cover the following areas for every trip:
- All exterior angles — front, rear, driver side, passenger side, and all four corners
- Interior — seats, dashboard, floors, and cargo area
- Odometer — a clear, readable photo of the mileage reading
- Fuel level — dashboard gauge showing the current fuel level
- Any pre-existing damage — close-up shots with enough context to show the location on the vehicle
Best Practices
While the above is required, the following habits will strengthen any claim you need to submit:
- Walk around the entire vehicle and photograph every panel, even if nothing looks damaged.
- Take close-up shots of any scratches, dents, or wear alongside a wider shot that shows where on the vehicle it is located.
- Document the interior thoroughly — stains, odors, and missing items are all claimable incidentals with proper evidence.
- Use consistent lighting. Photos taken in a well-lit area or in daylight are significantly clearer and more useful as evidence than photos taken at night or in a dark garage.
