Connect Wheelbase to Claude or ChatGPT

Wheelbase now connects to both major AI assistants: Claude (Anthropic) and ChatGPT (OpenAI). Connect whichever one you already use — or both — and ask questions about your business the way you'd ask a fast operations manager:

• "Which security deposits am I still holding, and which should I have released by now?"
• "What's going out Friday, and what do I need to stage for it?"
• "Customer's on the phone — is Unit 12 open Aug 14–18, and what's the out-the-door price with taxes?"

Both assistants read your live Wheelbase data — using your own login and your own permissions — and answer in seconds.

Cost: Free on both platforms. Neither integration adds anything to your Wheelbase bill. You just need an account with the assistant you choose — a free plan works on either.

A quick primer, if you're new to this

What are Claude and ChatGPT? Both are AI assistants you chat with in plain English — at claude.ai or chatgpt.com, in their desktop apps, or on your phone. Type a question, get an answer.

What connects them to Wheelbase? Claude uses an MCP connector; ChatGPT uses a plugin. Different names, same idea: a secure plug between the assistant and your Wheelbase account. Without one, the assistant only knows what you type into the chat. With it, the assistant can look things up in Wheelbase directly — securely, using your own login and permissions.

Why this matters: on Claude, connectors stack — connect Google Calendar, Gmail, and QuickBooks alongside Wheelbase, and one request can span all of them. ChatGPT's plugin works the same way for Wheelbase on its own, with more integrations rolling out over time.

How to connect Claude

If you're on a Free, Pro, or Max plan (most hosts):

1. Go to claude.ai/customize/connectors — or in Claude, click your name → Settings → Connectors.
2. Click + → Add custom connector.
3. Paste the Wheelbase MCP server URL: https://api.wheelbasepro.com/mcp
4. Click Add. (Skip "Advanced settings" — you don't need it.)
5. Click Connect next to Wheelbase. A Wheelbase login window opens.
6. Sign in with your normal Wheelbase credentials and approve the access request.

Done. You'll see Wheelbase listed as connected.

If you're on a Claude Team or Enterprise plan: only an account Owner can add a connector for the organization. Your Owner does steps 1–4 above from Organization settings → Connectors (click Add → hover Custom → select Web). After that, every team member goes to Settings → Connectors, finds Wheelbase in the list, and clicks Connect to sign in with their own Wheelbase login.

Turn it on in a conversation: click the + button near the message box → Connectors → toggle Wheelbase on. Now ask away.

How to connect ChatGPT

Wheelbase is listed in the public ChatGPT plugin directory — nothing to copy or paste.

1. In ChatGPT, click Plugins in the left sidebar.
2. Search for "Wheelbase."
3. Click Install plugin.
4. Sign in with your normal Wheelbase login and approve the access request. ChatGPT never sees your password — sign-in uses secure OAuth.
5. In any chat, type @Wheelbase to start asking.

Your first question

Start with something simple so you can see it working:

"What bookings do I have going out this week?"

The first time your assistant uses a Wheelbase tool, it will ask your permission. Approve it. On Claude, if it's a tool you'll use constantly and trust, you can choose Allow always so it stops asking.

What you can ask

These work the same way on Claude and ChatGPT — copy any of these in and edit to fit.

Money

• "What came in yesterday — charges, refunds, payouts, and requests?"
• "Which security deposits am I still holding, and which should I have released by now?" — flags trip-ended, days held, and anything past your max hold window.
• "Show me every payment on booking #12345 and what's still outstanding."
• "Pull last month's payments and break them out by charges, refunds, and payouts, plus everything still on deposit."

Fleet

• "Which of my vehicles are still unpublished, and how long have they been sitting?"
• "Look up this VIN — is it published, what's it priced at, and what's its utilization this month?"
• "What does utilization look like across my fleet this month? Where can I better optimize my calendar?"
• "Which units haven't booked in the last 30 days?"

Operations

• "What's going out Friday, and what do I need to stage for it?" — pulls the add-ons off each booking: generator, kit, propane, and so on.
• "List every pickup and return for the next 30 days with customer name and unit."
• "Which returns are coming back tomorrow, and are any of them overdue?"

Selling

• "Customer's on the phone — is [vehicle] open Aug 14–18, what add-ons can they get, and what's the out-the-door with taxes?"
• "Check availability for Labor Day weekend and price it out for a 4-night trip."
• "Set up Jane as a customer, book her on Unit 12, and give me a payment link to text her." — the booking sits unpaid until she pays it herself.

Combine Wheelbase with your other tools (Claude)

This is where Claude users get the most value: connect Wheelbase alongside your other apps, and one request spans all of them.

Add these the same way — from Settings → Connectors. Most popular apps are already in Claude's connector directory, so you just click Connect.

Security and permissions

These hold on both platforms:

• Neither assistant ever sees your Wheelbase password. Both use OAuth — the same standard sign-in flow you use when an app asks "Continue with Google."
• You only get what you already have access to. The connection operates with your own Wheelbase permissions. If you can't see a report in Wheelbase, the assistant can't either.
• You approve write actions. Anything that creates or changes data — like drafting a booking or sending a checkout link — requires your approval, and you can review it before it happens.
• You can disconnect anytime.
  • Claude: Settings → Connectors → three dots next to Wheelbase → remove.
  • ChatGPT: Plugins → Wheelbase → uninstall.
  • Access is revoked immediately either way.

Good habits: turn the connector or plugin off in conversations where you don't need it; read approval prompts before clicking, especially for anything that writes data; only use "always allow" settings for tools you use routinely and understand.

FAQ

Does this cost anything? No, on either platform. Both integrations are free and don't consume anything from your Wheelbase plan. Claude's free plan and a free ChatGPT account both work — paid plans just give you more usage per day.

I already use Claude — do I need to switch to ChatGPT? No. Use whichever assistant you prefer, or both. They read the same live Wheelbase data.

Is my data being used to train AI? Your Wheelbase data is accessed live to answer your question. Each provider's own data policies govern how conversations are handled — see Anthropic's or OpenAI's privacy documentation for specifics.

Can the assistant change things in my account, or just read? Both, depending on the tool — but write actions (like creating a customer, a booking, or a checkout link) require your explicit approval each time, and you see exactly what's being created before it happens.

Can my whole team use this? Yes, on either platform. Each team member connects with their own Wheelbase login and gets their own permission level.

How is this different from the App Exchange? The App Exchange remains the home for packaged, purpose-built integrations. The Claude connector and ChatGPT plugin are for hosts who already work in one of those assistants and want the flexibility to ask their own questions and build their own workflows.
