This guide walks you through using the Wheelbase vehicle importer to bulk-add your fleet. Utilizing the importer during your initial setup ensures that all critical data—such as VINs, license plates, and replacement values—is immediately associated with your vehicles, saving you from repetitive manual entry later.
Step-by-Step Instructions
Download the Template: To begin, you must have Admin permissions and access to the Vehicles tab in your left sidebar. Click Import (or Import Vehicles) and select the option to download the official CSV vehicle import template.
Fill Out the Spreadsheet: Open the CSV in a program like Excel or Google Sheets. Enter your vehicle details row by row, ensuring you have your VINs, license plates, current mileage, and replacement values ready for entry.
-
Update the Rental Category: Locate the column titled rental.category.
Note: Take special care to ensure you select "auto" in this column for every vehicle you upload (unless you are specifically uploading an RV). If you do not change this, you will see RV-specific prompts throughout the platform (like "sleeps" or "generator hours") that add extra details you do not need if you only rent autos.
Upload the File: Save your completed spreadsheet as a .CSV file. Return to the Vehicles > Import section in Wheelbase and upload your finished file.
Map and Review Fields: The system will ask you to confirm that your spreadsheet columns match the Wheelbase data fields. Pay close attention to the mapping for VIN, Replacement Value, and License Plate to ensure all information is captured accurately.
Complete the Import: Click Start Import. Your vehicles will now appear in your unpublished vehicle list and are ready for you to add photos, additional highlights, as well as apply insurance.
Using the Importer
Pro-Tips & Notes
Initial Association: Using the importer when you initially add your vehicles is highly helpful to get all information immediately associated with your fleet. This reduces manual entry for individual elements later, though you can always make changes to a vehicle's profile at any time as needed.
-
Location Mapping: Ensure the location.id in your file matches the ID for your specific lot found in Account Settings > Store Locations.
